Protection of Personal Information

OESF publicly announces matters related to personal information for disclosure by OESF below, based on Act on the Protection of Personal Information of Japan.

1. Purpose of Using Personal Information
Personal information provided to OESF shall be used for the following purposes. If you separately agree to a purpose of use, the use of personal information shall be limited to the purpose of use only.

(1) Purposes of Using Personal Information of Customers and Partner Companies
  Announcement of seminars, exhibitions, events
  - Support for services
  - Response to inquiries
  - Member's only services
  - Product development
  - Questionnaire survey and analysis
  - Implementation of a contract
  - Meetings and communications
  - Management of entering and leaving OESF's premises
  Note: OESF may provide its members, customers and partner companies with personal information only within the scope necessary for the achievement of the purposes of use listed above.

(2) Personal Information Provided by Outsourcers Accompanying its Undertaking of Outsourced Duties
  For achievement of the purposes of the contract with the outsourcers

(3) Personal Information of the Members
  In addition to the purposes listed in (1) Personal Information of Customers and Partner Companies above,
  - Enforcement of rights and fulfillment of obligations subject to the Act on General Incorporated Associations of Japan.
  - Use of facilities
  - Offer of facilities
  Note: OESF may provide its members, customers and partner companies with personal information only within the scope necessary for the achievement of the purposes of use listed above.

(4) Personal Information of Job Applicants
  - Provision of information to job applicants and assessment of job applicants
  - OESF's Hiring Management

2. Personal Information Which OESF Has the Authority to Disclose by Responding to Requests for Disclosure
OESF publicly announces matters related to personal information which OESF has the authority to disclose by responding to requests for disclosure below.

a. Personal information of customers and partner companies used for:
  - Announcement of seminars, exhibitions, events
  - Support for services
  - Member's only services
  - Response to inquiries
  - Product development
  - Questionnaire survey and analysis

  - Management of entering and leaving OESF's premises

b. Personal information on job applicants used for:
  Provision of information to job applicants and assessment of job applicants

  Note: The purposes of use listed above are typical cases of using personal information.

(3) Inquiries and Complaints
Please contact the secretariat of OESF for inquiries and complaints on personal information.

(4) Disclosure Request
Please contact the secretariat for requests regarding (1) notification of the purpose of using, (2) disclosure, (3) correction, addition or deletion, (5) termination of use, erase or termination of provision to third parties of personal information provided to OESF.

Privacy Statement

Effective date: March 24, 2009

OESF shall be aware of assuming legality, security and liability as one of important duties and properly protect all personal information used for its business, including employees in its members and OESF as well as personal information received from users in all the business activities.

Acquisition, Use and Provision of Personal Information

OESF shall acquire, use and provide personal information properly according to content and size of businesses. In addition, OESF shall establish a self-inspection system in every scene and not handle for purposes other than those promised.

Compliance with Laws and Regulations

OESF shall comply with laws, regulations, government guidelines, and other rules related to the handling of personal information.

Implementation of Security Measures

To ensure the accuracy and security of personal information, OESF shall make every effort to prevent loss, destruction, modification and leakage of personal information by implementing personal information access management and safety measures for unauthorized access and by restricting external use of personal information, according to rules on personal information and to implement corrective measures.

Respect for Individual Rights

OESF shall respect the rights of the Individual and comply in good faith to such requests when requested by the Individual to disclose, correct, delete or cease the use or provision of personal information.

Operation and Continuous Improvement of Management System

OESF shall make its board of directors (trustees and auditors) and employees fully aware of the importance of protecting personal information and establish its management system to ensure use and protection of such information. Moreover, OESF designs, operates, maintains, and continuously improves the management system.

Inquiries and Complaints

OESF shall respond promptly to inquiries and complaints relating to handling of personal information.
